Historically, corporate accounting requirements within the care industry have been addressed by the utilisation of standard, general accounting products which may not be able to handle the specific requirements of both corporate and charitable/not for profit care organisations. To this end, Coldharbour Systems introduce Coldharbour Financials, our care specific accounting product. Coldharbour Financials is supplied, modified and supported by the market-leading supplier to private and charitable care providers.
A constant prevailing characteristic of our private care providers is the huge volume of mergers and acquisitions that has resulted in rapid expansion and the creation of ‘super groups'. Coldharbour Financials is built on a Microsoft SQL server platform making the system robust and scalable, able to cope with extremely large volumes of data. A typical Coldharbour Financials user would therefore be an organisation with a turnover of between £5m and £500m. They would have 10 - 500+ users and process between 10,000 and 2 million transactions per month.
All Coldharbour Financials modules are fully integrated and revolve around a unified ledger design. All transactions are held in a single database with reports and summaries being calculated at run time from transaction detail level. Reconciliation problems between the sales ledger, purchase ledger, cashbook and nominal ledger are therefore eliminated. Every transaction line within the unified ledger can contain over one hundred fields of additional information. The Data Range Selector (DRS) tool enables ad hoc querying of any of these fields providing almost unlimited data interrogation flexibility and analysis capabilities.
By integrating Coldharbour Financials with our specialist care applications, further analysis capability is achieved enabling users to produce financial reports by (for example) resident name or fund source. A ‘back link' within Coldharbour Financials enables users to drill down to invoice details within our specialist care applications providing greater visibility of, and easier access to, debtor information.
Data conversion within Coldharbour Systems is automated through the Import Manager which enables conversion from virtually any legacy accounting product.
Individual users or user groups can be granted or denied access to individual suppliers or customers, nominal accounts or cost centres, ledgers and menu items. All transaction postings are given a user code, time and date enabling full auditing of all system activity.
